I-VOL Terms and Conditions for Organisations


1. Introduction

I-VOL is the national searchable database of volunteering opportunities in Ireland. The system is operated and managed by Volunteer Ireland in collaboration with the national network of Volunteer Centres.

These Terms and Conditions apply to organisations (“You,” “Your” or “Your Organisation”) that register on I-VOL to list volunteering opportunities, engage with a Volunteer Centre, and/or engage in the Community Volunteer Programme.

By using I-VOL, you agree to be bound by these Terms and Conditions. If you do not agree, you should not use I-VOL.

We reserve the right to amend these Terms and Conditions at any time. The latest version will always be available at www.i-vol.ie.

2. Registration and Eligibility

Not-for-profit organisations, including charities, community groups, co-operatives, and statutory bodies may register on I-VOL. We reserve the right to accept or reject any application for registration at our sole discretion.

For profit organisations may be permitted to advertise volunteer opportunities but only where a clear social, environmental or community benefit is demonstrated at our sole discretion.

Organisations may be required to provide supporting information/documentation after the initial registration process.

Acceptance of registration and posting an opportunity does not imply endorsement by Volunteer Ireland or a Volunteer Centre.

When registering, your organisation must nominate a main contact person (or persons). This must include a:

  • Main contact for your organisation,
  • Contact for specific volunteering opportunities you post, and/or
  • Main contact for the community volunteer programme and/or a contact for specific activities or events.

Your organisation is responsible for ensuring:

  • Each contact person has agreed to have their personal details used during registration shared with Volunteer Ireland and the relevant Volunteer Centre for these purposes.
  • That they understand their details may be visible to volunteers when published on I-VOL.
  • That the details are accurate and up to date.

3. Organisational Responsibilities

By registering and using I-VOL, your organisation is acknowledging that, it will:

  • Accept and agree these Terms and Conditions in full.
  • Have appropriate insurance cover in place to cover the volunteer related activities and events you are advertising on I-VOL
  • Comply with all applicable equality, safeguarding, and legal obligations, including the Children First Act 2015, where relevant
  • Arrange for Garda Vetting where legally required for roles involving children or vulnerable adults.
  • Provide accurate, lawful, and appropriate content for volunteer opportunities (Ref: section 5)
  • Respond to volunteer enquiries in a timely and respectful manner.
  • Only use any personal data collected through I-VOL for the purpose of managing the volunteer’s application and, where relevant, their onboarding to a role in your organisation. (You must not use volunteer data for any other purpose, such as marketing or general contact, unless you have a separate lawful basis under GDPR)
  • Ensure that any personal data provided when registering or posting opportunities (including contact person details) has been collected and shared lawfully, and that the individuals concerned are aware their details will be used in this way.
  • Ensure your organisation’s own compliance with data protection law for any volunteer personal data you manage outside I-VOL, including your own privacy notices, lawful bases, retention, and responses to data-rights requests.

Volunteer Ireland and the Volunteer Centres are not responsible for verifying compliance with these obligations but may remove or suspend listings or organisational profiles where they become aware of a breach of these Terms.

4. Data Protection

Volunteer Ireland and the Volunteer Centres function as independent data controllers for personal data collected through the I-VOL registration form.

Your organisation will both provide and receive personal data through I-VOL, and the following applies:

  1. When your organisation registers, engages with the community volunteer programme or posts volunteer opportunities in I-VOL, you are responsible for ensuring that any personal data you provide, such as contact names, phone numbers, or email addresses, is collected and shared lawfully, accurate, and that the individuals concerned have been informed how their data will be used.
  2. When your organisation receives volunteer information through I-VOL, you become an independent data controller for that data. You must manage it in line with applicable data-protection law, including the GDPR and the Data Protection Act 2018.

5. Posting Volunteering Opportunities

Your organisation can post volunteering opportunities on I-VOL, with support available from your local Volunteer Centre. However, your organisation is responsible for ensuring that:

  • All information you post is true, accurate, and lawful.
  • Volunteer roles advertised are genuine, voluntary, and provide a community benefit.
  • Listings comply with applicable laws and these Terms and Conditions
  • Roles listed do not replace paid work.

Volunteer Centres may remove, deactivate, or refuse to publish opportunities that are inappropriate, discriminatory, misleading, exploitative, or contrary to the values of the volunteering infrastructure.

Volunteer Ireland may remove or deactivate a role on the instruction of the relevant Volunteer Centre, or where necessary to comply with data protection or other legal obligations (for example, if an individual objects to their information being published).

6. Restrictions on Use

You must not:

  • Use I-VOL to register paid roles, job advertisements, or commercial recruitment.
  • Post content that is unlawful, defamatory, obscene, discriminatory, harassing or otherwise inappropriate.
  • Infringe any third-party intellectual property or privacy rights.
  • Misuse the platform through malicious software or unauthorised access.

We reserve the right to monitor platform activity and remove content or suspend access without notice where necessary to protect users or comply with legal obligations.

7. Intellectual Property

We expressly reserve all rights in and to the name “I-VOL,” “The National Volunteer Database” and our I-VOL logo.

Other trademarks, products, and company names mentioned on I-VOL may be trademarks owned by other organisations and individuals or in use by their licensees and the rights to such trademarks are reserved to such owners or licensees.

8. External Links

I-VOL may contain links to third-party websites. We are not responsible for the content or practices of these sites and accept no liability for any loss or damage arising from their use.

9. Disclaimers and Liability

I-VOL and its content are provided “as is.” We make no representations or warranties regarding the completeness, accuracy, availability, or suitability of I-VOL. Your organisation uses the platform at its own risk.

To the fullest extent permitted by law, Volunteer Ireland, Volunteer Centres, and their officers, employees, and agents disclaim all liability for any direct, indirect, incidental, or consequential loss arising from use of or reliance on I-VOL.

10. Indemnity

Your organisation agrees to indemnify Volunteer Ireland, Volunteer Centres, their officers, employees, and agents against any claims, losses, or expenses arising out of your organisation’s use of I-VOL in breach of these Terms and Conditions or applicable law.

11. Governing Law

These Terms and Conditions are governed by Irish law. Any disputes will be subject to the exclusive jurisdiction of the Irish courts.
